Product identity is the stable reference that lets different systems, organisations and services agree which product they are talking about.

Your product data does not need to live in one giant database. Shopify, a PIM, ERP, spreadsheets, evidence folders and technical files can continue doing the jobs they do well. The important change is that the same product remains identifiable across them.

That creates a practical progression:

identify the product → govern the facts → connect the systems → resolve the identity → reuse the data → publish the passport → keep the identity useful after sale

Product identity is not valuable because a code exists. It becomes valuable when reliable systems can use that identity to find, exchange, correct or act on the right product information.

GTIN, SKU, model, batch and serial identifiers do different jobs. Begin with the object you need to identify and the external system that needs to recognise it.

Where should my product data live?

A PIM is one way to govern product information. It is not the outcome. The outcome is stable identity, governed facts, evidence, change control and reuse.

How do I connect the same product across systems?

A Shopify SKU, ERP ID, retailer article number and GTIN can all be valid without being the same identifier. A governed crosswalk records that they refer to the same scoped product.

How does this become a Digital Product Passport?

A passport should be a governed projection of product data and evidence, plus genuinely new information required by the applicable product rule. It should not become a second product master that slowly diverges from the systems running the business.

A persistent identity can remain useful through repair, warranty, returns, resale, recall and lifecycle updates. The identity gives those workflows a reliable subject; it does not by itself prove ownership, entitlement, authenticity or condition.

Keep the layers separate

  • A GTIN is not a PIM.
  • A QR Code is not GS1 Digital Link.
  • GS1 Digital Link is not the product database.
  • A Digital Product Passport is not automatically the product master.
  • Product identity does not by itself prove authenticity, ownership or compliance.

The useful system is the governed connection between the layers.

Apply the model to one product

Choose one sellable product and record:

  1. what object and level you are identifying;
  2. its internal and external identifiers;
  3. which systems hold those identifiers;
  4. which system owns each important fact;
  5. what evidence supports those facts;
  6. which services need to find the same product;
  7. what changes after publication or sale.

That small test exposes identity gaps before they become a catalogue, integration or passport problem.
